Extended Status Notification

Updated over 2 weeks ago

Gino introduces the Extended Status Notification feature, designed to prevent documents from remaining stuck in the same status for too long.

When a document exceeds a defined number of days in a given status—such as drafting, internal discussion, approval, or signature—an alert is automatically triggered to remind the relevant stakeholders and ensure continuity in the contract process.

⚙️ Configuration via Administration

The Extended Status Notification feature is available under Administration → Alert Management.

Administrators can easily:

  • enable or disable the notification,

  • define the delay before an alert is sent,

  • select the statuses to monitor,

  • enable automatic reminders if needed.

No manual configuration of recipients is required.

👥 Notification recipients

Alerts are automatically sent to the following profiles:

  • phase owners of the relevant step,

  • owners of the status in which the document is blocked (approval, signature, etc.),

  • document authors,

providing them with immediate visibility into ongoing bottlenecks.

👉 Notifications apply only to the latest version of the document.

📬 Notification channels

Alerts are delivered:

  • by email,

  • via an in-app notification directly in Gino.

🎯 Key benefits

  • Fewer documents stuck in a single status

  • Better visibility into pending contracts

  • Automatic reminders with no manual action required
